Confirmation of Candidature

Confirmation report forms are sent directly to PhD students four months prior to the confirmation due date. PhD candidates may check the PhD handbook for more information regarding confirmation reports, by clicking here. Study Overseas/Away

PLEASE NOTE: All applications  to study overseas/away must be accompanied by a completed Guideline Form For Off Campus Travel And Work Policy which downloads with the Application To Study Overseas/Away form. This form should be completed in conjunction with your supervisor who must authorize the form.

If a potential hazardous or unique risk is identified either while traveling or in the activities you will be engaged in whilst away then you must also complete and submit a 2D or 3D risk assessment form. The 2D risk assessment form is available for download here and the 3D risk assessment form is available here .  These risk assessment forms should also be completed in conjunction with your supervisor who must authorize either of these forms.

Applications to study overseas/away will NOT be processed at SGS unless the relevant risk assessment forms are completed and attached.

Extensions to PhD Candidature
PhD students must now apply for an extension to their candidature on a Completion Report. These reports will be posted directly to PhD students two months prior to their expected completion date.

Extensions to M.Sc.(res).
Research Masters of Science, Optometry and Information Systems students should apply for an extension to their candidature on the "Application for Extension to Candidature" form available only from the School of Graduate Research.

Lapsed Candidature
Lapsing is only an option for PhD students who have completed 4 years full-time or equivalent candidature. Paper copies of this form are available from the School of Graduate Research.

Discontinuation of Candidature
Discontinuation is only an option for Faculty of Science Masters (Research) students who have completed 2 years full-time or equivalent candidature. Paper copies of this form are available from the School of Graduate Research.

Progress Report Progress report forms are sent directly to PhD and Masters of Science by research students two months prior to the due date. A sample copy of the Progress Report may be viewed here (in MS Word, 125 KB or Adobe PDF, 132 KB formats).

Completion Reports As of the 1/1/2003, PhD candidates will be required to complete a Completion Report which will be due on their expected completion date. This form will replace the Extension to Candidature/Scholarship as candidates will be able to apply for an extension to their candidature on this form. The Completion Report will be sent to PhD students two months prior to their expected completion date.

Change of Address It is important that you keep the University informed about your change of address. To change your address on-line, use the service provided by the Student Information System (SIS), by clicking here.

Notice of intention to submit thesis: 80-word summary

Three months prior to the submission date of the thesis, the candidate is required to submit an 80-word summary of the thesis argument to the School of Graduate Research. Candidates are required to discuss the time-frame for thesis submission with their supervisor prior to submitting an 80-word summary. The 80-word summary should be submitted via the on-line form at <http://www.gradstudies.unimelb.edu.au/phd/examination/thesissubmission/eform/>.

In addition to the 80-word summary, the following information is required:

  • candidate's name
  • student number
  • department
  • supervisor/s name (if required a Change of Supervisor form can be obtained from here)
  • thesis title
  • current address.

The summary activates the process of nominating potential examiners for the thesis.

Candidates are not informed of the names of persons nominated as possible examiners, but are permitted to name individuals whom they do not wish appointed as examiners. Candidates who wish to name individuals whom they do not wish to act as their examiners should provide a written statement to the head of department at the time of submission of their 80-word summary.

Note: If more than 3 months lapses between submission of the 80-word summary and the thesis for examination, it is recommended that the candidate notify the SGS two weeks before the thesis is to be submitted to avoid delays with the examination. SGS Examinations Office can be notified by e-mail at: sgs-exams@unimelb.edu.au.
